Getting started

How long does setup take?
Most businesses are live within the week, and some are up and running in a much shorter time than that. It depends on how much customisation you want. A basic setup can happen fast; a fully integrated one with your calendar and CRM takes a little longer to get right.
Do I need to change my business phone number?
No. You keep your existing number and simply forward it to Callsmith, or we can provision a new number if you'd prefer to keep them separate.
Can I try it before committing?
Yes. In your setup meeting we'll build a custom AI receptionist for your business so you can call in and talk to it yourself before it ever goes live. Beyond that, every plan is billed monthly, so if you're ever unhappy with the service you can walk away at any time.
How does Callsmith know about my business?
During setup, we use your existing business website to gather the information your AI receptionist needs, things like your services, opening hours, service areas, pricing, and frequently asked questions. We then configure Callsmith around your specific business, along with any extra booking rules or instructions you give us, so callers get accurate, relevant answers instead of a generic script.

Features & functionality

Will it sound robotic to my customers?
No, Callsmith uses natural, conversational voice AI trained on real trade calls. Most callers don't realise they're not speaking to a person until you tell them.
Does it work with my calendar and CRM?
Yes, and it's not limited to a fixed list. Callsmith can connect to whichever calendar and trade CRM you already use, so bookings flow straight into the system your business runs on, not one you have to switch to.
Does it have to be fully integrated, or can it just take messages?
Whichever you prefer. Callsmith can run as simply as an AI receptionist that answers missed calls and texts you the details, or as a fully integrated system that books straight into your calendar and CRM and handles the job from first call to confirmed appointment. Plenty of businesses start basic and add more on as they go.
Can I control how and when calls get handled?
Yes, the whole call flow is configurable. As an example, you could have calls ring through to you first and only go to Callsmith after four rings during business hours, then go straight to Callsmith after hours and on weekends. You set the rules, and we build the setup around how you actually want to work.
What happens with emergency calls?
You set the rules. Urgent jobs, like a burst pipe or no power, can be flagged and routed straight to your mobile or on-call crew instantly.
Can it handle more than one call at a time?
Yes. Unlike a single receptionist, Callsmith can answer unlimited simultaneous calls, so nobody ever gets a busy signal.
Can I customise what it says?
Absolutely, greetings, qualifying questions, and booking rules are all tailored to your trade and can be adjusted any time from your dashboard.
What happens if someone wants to speak to a real person?
Callsmith doesn't have to replace you or your team. Calls are handled however you set the workflow: depending on your setup, Callsmith can transfer the call straight to you or a team member, collect the caller's details for a callback, or take a detailed message so nothing gets lost.

Billing & plans

Is there a setup fee or contract?
Currently we have no setup fee, and no lock-in contract on any plan. Monthly plans can be cancelled any time; annual plans are billed upfront at a 20% discount.
Can I change plans later?
Yes, you can upgrade or downgrade at any time from your account and it takes effect straight away. You'll only ever pay for the plan you're on for the time you're on it, so you won't be charged twice for the same period. See the full pricing page for plan details.

Is Callsmith based in Australia?
Yes, Callsmith is built and run out of Perth, WA, for Australian trade businesses. That means support in your own time zone and a system that understands how Aussie trades actually take bookings and quote jobs, not a script translated from overseas.
Can Callsmith handle genuine after-hours emergencies?
Yes. If your trade takes real emergency call-outs, like plumbers, electricians, or locksmiths, Callsmith can be set up to recognise urgent jobs and escalate them straight to you or your on-call crew, any time of day or night.

Security & privacy

Is my call data secure?
Every call is encrypted in transit and at rest. Transcripts and recordings are only accessible to you and your team, and can be deleted at any time. Read more on our security page.
Do you sell or share my customer data?
Never. Your call data belongs to you. See our privacy policy for the full details on what we collect and why.
Is it legal to record my calls?
Yes. Every call answered by Callsmith opens with an automatic disclosure that it may be recorded, so you don't have to remember to add it yourself or worry about being caught out. Recording and disclosure rules vary slightly by state, so this is built in as standard rather than left up to you.
